Job Responsibilities
- Liaises often with Directors, senior-level staff, and outside collaborators and contacts to represent the function in a professional manner and support departmental goals.
- Gives the leadership all other executive support, including substantial and ongoing calendar management, domestic and international travel management, cost management, event registration, and detailed meeting plan management.
- Organises the appointments and travel for unit/departmental leadership with appropriate supporting materials. Coordinates and schedules on- and off-site meetings, events, and meetings.
- Elevates the shopping cart and orders any necessary equipment or inventory.
- Assembles data, plans, and creates presentations for monthly reporting.
- By gathering information, doing research, and managing information retrieval, assists executive leadership in monitoring important operational indicators.
- Independently completes unique tasks that call for a thorough understanding of both technical and administrative requirements.
- Serves as the executive leadership’s spokesperson when it comes to correspondence, internal and external interactions, and communication screening.
- Deals with sensitive topics, whether they are common or uncommon, and prioritises them using judgement and initiative.
- Makes certain that the executive leadership is aware of the issues, timelines, and objectives.
- Plans domestic and/or worldwide teleconferences.
- Manages the database and keeps track of internal and external contacts.
- In addition to guiding the less experienced administrative workers, provides backup administrative support to others as needed.
- Does other tasks as directed.
Skills
Education & Experience
- 7–8 years of relevant administrative experience and a bachelor’s degree in a related field. An extra advantage is previous expertise in the research, medical, or educational fields.
